ADMINISTRATIVE ASSISTANT


We are currently seeking a well-organized individual to fill the role of Administrative Assistant.

Located in Burlington, OnePlan Business Centres is a growing company that provides office space and business support services to local entrepreneurs and business professionals.

At OnePlan, we are known for our excellent customer service. As the Administrative Assistant at our 5063 North Service Road location, you’ll be the first person our members and visitors will interact with on a daily basis. Reporting to the VP Sales, our ideal candidate has a courteous, friendly personality and is also professional, organized, and helps us project the right image for our centre and our members.

Please note this position is offered as a full-time, temporary opportunity to cover a maternity/parental leave. Pending business requirements, this opportunity could be offered as a permanent position following the temporary contract. Expected start date July 2018.

Responsibilities:

  • Play an active role in daily operations by providing professional, friendly and hospitable reception of all visitors to the office, including OnePlan members and their guests, couriers/delivery personnel, prospective OnePlan members, and vendors
  • Assist OnePlan members with all inquiries and coordinate assistance (IT support, building management, etc.) as required
  • Handle all incoming and outgoing mail and courier packages
  • Handle inbound phone calls and answer pre-sales questions about our services and schedule site tours
  • Coordinate office activities; troubleshoot or escalate basic office administration issues
  • Ensure kitchen and common areas are kept tidy and stocked with supplies
  • Provide direct administrative and office management support to all members of the executive team, as directed by verbal or written instruction
  • Manage meeting room calendars, bookings and hospitality logistics for meetings, seminars, workshops, special projects, and events
  • Prepare travel schedules, book travel arrangements, and make reservations
  • Assist the accounting department with accounts payable and receivable where required
  • Assist the sales department with creating sales quotes and checking sales quotes for accuracy
  • Assist with lead generation by managing prospecting emails and potential follow up phone calls to arrange meetings and site tours
  • Perform data entry into dashboards and spreadsheets, and ensure that all information is complete and accurate

Skill Requirements:

  • Minimum 2-3 years of direct work experience in an administrative assistant capacity
  • A university degree or college diploma in Business/Office administration would be an asset
  • Proficiency in MS office (Excel, Word & PowerPoint) and/or G Suite (Google) programs
  • High level of sound and independent judgment, reasoning, and discretion
  • Advanced level of proficiency in English with excellent writing and editing skills, including proper spelling, grammar, and punctuation
  • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • Professional, resourceful, and positive work attitude
  • Experience with Quickbooks Online would be a definite asset

Compensation:
